SITUATION: Faced a critical challenge when the registration launch was delayed due to impending and confidential company-wide layoffs affecting a significant portion of the expected attendees. This delay put contractual obligations at risk.
TASK: My responsibility was to manage all logistical aspects of the event, including attendee registration, vendor contracts, and ensuring fulfillment of contractual obligations with the hotel despite the registration delay.
ACTION: I simplified registration questions to expedite the process, launched an aggressive messaging campaign endorsed by the executive team to encourage prompt registration post-launch, and coordinated a cross-team effort to match registration lists with evolving employment lists to identify and follow up with unregistered attendees.
RESULT: Despite the challenge, our actions led to 92% of attendees registered within 72 hours of the launch, ensuring timely fulfillment of contractual obligations with the hotel. Additionally, these actions garnered increased support and transparency from the executive team. Final event Net Promoter Score (NPS) of +86 and a surplus of over $555K in the overall budget.
